Terms & Conditions
Booking and payments
1.1 The dates of your booking will be held upon payment of a non-refundable deposit of 25% or payment in full. Deposits are only payable when you make your booking more than 10 weeks in advance of your check in date. Any booking made less than 4 weeks in advance of your check in date must be paid in full at the time the booking is made.
1.2 On receipt of the deposit/payment, a booking confirmation will be sent to you by email containing the details of your stay, details of payments made and details of payments still due. If you have not received your booking confirmation within 48hrs, please notify us by email as soon as possible.
1.3 Where a deposit has been paid, the full balance payment will be due 4 weeks in advance of your check in date and a reminder will be sent to you prior to this date, by email. If you are unable to pay the balance before the stated due date, you will forfeit your deposit and your booking will be automatically cancelled.
1.4 A damage deposit of £50 per hut is required for each stay. This can either be paid when booking or upon arrival at the site in cash, mobile banking or debit card. The deposit will be refunded within 48hrs of your departure from the site provided no damage has been committed to the hut, its content or the site and the guests have behaved appropriately. If the deposit has not been refunded within 48 hrs and you believe it should have been, please notify us as soon as possible.
Cancellation
2.1 Cancellation by you at any time will result in your deposit being forfeited, as all deposits are non-refundable.
2.2 All monies paid for a holiday (deposit and balance) are non-refundable within 4 weeks of the check in date.
2.3 Cancellation of any holiday after it has been paid in full and at a date 4 weeks or more in advance of your check in date, will result in forfeiture of your deposit (or an amount equivalent where one was not paid as the holiday was paid in full) and the balance being returned to you.
2.4 Holly Grove Glamping reserve the right to cancel any booking at any point before or during a Guest’s stay for any reason (including but not limited to severe flooding, dangerous site conditions or adverse weather conditions). Provided the termination is not due to the Guest being in breach of these terms they will be refunded for all of their holiday if it is prior to their booking or any remaining nights if it is during their booking.
2.5 In extreme weather conditions at the site, such as exceptional cold and snow, we will do all we reasonably can to warn guests and give guests the option to move dates (subject to availability) without additional charge.
2.6 Holly Grove Glamping cannot accept responsibility for any loss, damage, or expense arising from industrial action, terrorist activity, adverse weather conditions or any other event outside the control of the company.
2.7 We strongly advise visitors to take out full holiday insurance to cover cancellations, public liability, personal belongings, personal injury, loss etc.
Alteration
3.1 Alterations to your booking can only be made more than 4 weeks prior to the check in date, after which time alterations will be treated as a cancellation. All alterations will incur a £20 administration fee and are subject to availability.
3.2 Differences in the total amount payable resulting from alterations will be refunded to you in the case of a decrease in price and paid by you in the case of increases in price.
Complaints
In the event that you have any complaint about your stay, please notify Holly Grove Glamping as soon as possible and we will use all reasonable endeavours to resolve the issue.
Pricing
Prices on the website are not binding, but costs stated in any booking confirmation email you receive from Holly grove Glamping will be honoured as shown.
Information
Information on the website is correct to the best of our knowledge, but circumstances outside of our control may cause it to become inaccurate. We apologise for any inconvenience that may result from this.
Arriving and Departing
7.1 Holly Grove Glamping is a small site so there is not a full receptionist on the site. A member of staff will visit the site twice a day and be available for checking in an out. Please tell us your estimated arrival time when you book and call us one hour before arrival where possible so that we can arrange to have someone there to meet you when you arrive.
7.2 Shepherd Huts are generally ready for guests from 3pm onwards, and we ask that guests vacate their huts, and have removed any items, by 11am on the morning of their departure.
Pets
8.1 Pets are not permitted at Holly Grove Glamping at any time.
Conduct on site
9.1. Visitors and guests only have permission to access the glamping site itself, which is clearly marked. Visitors and guests do not have permission to access any other areas of the property and if they do they will be treated as trespassers.
9.2 Guests and visitors agree to be considerate tenants and to take good care of the huts and facilities during their stay. Guests and visitors agree not to act in any way which would cause disturbance to other guests or be inappropriate for families on the site.
9.3 If there are any complaints about your behaviour you will be given one warning. If you continue then you will be asked to leave the site immediately and you will lose your damage deposit. No refund will be given in these circumstances.
9.4 Should any facilities, equipment, or items, be damaged wilfully, as a result of inappropriate usage or behaviour, as a direct result of failing to respond to instructions from Holly Grove Glamping staff or due to your negligence you will be held responsible for the cost of repair or replacement of that item.
9.5 By Booking and coming to Holly Grove Glamping you agree to be responsible for your children and any children in your charge, your own welfare and to take all reasonable precautions against personal injury, injury to others and damage to the facilities.
9.6 Camping in Britain can mean dramatic variance in weather in a short period of time. Whilst we supply certain facilities and equipment, as described on the facilities page of our website, it is still camping and you are responsible for your own well being and comfort regarding appropriate clothing and footwear etc. It is better to bring extra layers and not use them than to be cold and miserable!
9.7 Fires on site are only permitted within the barbeque barrels and fire-pits as supplied or authorised by Holly Grove Glamping.
Liability
10.1 Holly Grove Glamping accepts no liability for accident, loss of property or personal injury incurred during stay with us.
10.2 Use of the huts and any other activity at Holly Grove Glamping is the responsibility of the Guest and is done so at their own risk.
10.3 By making a booking, you confirm you acknowledge these Terms and Conditions and that you are aware of the risks, hazards, and dangers of personal injury by entering onto the site.
Privacy
11.1 Guest’s contact and personal details may be kept by us for future mailings of news and offers. If you do not wish to receive these, please let us know by sending us an email. You may also opt out of receiving emails at any time by contacting us by email.
11.2 The booking process asks for your address details and phone numbers. These are required by the Local Authority so at any time we can prove you are not residents at the camp site. It also allows us to contact you should the internet fail and if we need to contact you whilst you are travelling to the campsite. Please note that your financial details are NEVER stored, or seen, by us.
Breach of Terms and Conditions
12.1 If there is a breach of any of these conditions by the Guest or any of their party, Holly Grove Glamping reserves the right to terminate your stay and ask you and the rest of your party to leave, without prejudice to any other rights specified in these Terms and Conditions.
12.2 Termination of your holiday by either Holly Grove Glamping, or you does not affect your statutory rights.
Governing Law and Jurisdiction
Any dispute will be governed by the non-exclusive law and jurisdiction of the English Courts.
Authority to Sign
The person who signs the Booking Form certifies that:
he or she is authorised to agree the Booking Conditions on behalf of all persons included in the Booking Form, including those substituted or added at a later date; the signatory is over eighteen years of age; they agree to take responsibility for the party, and to notify Holly Grove Glamping if they are not a member of the holiday party.
Validity clause
In the event that a court finds that a condition in these Booking Conditions is illegal or void, the illegal or void provision will be severed from the remainder of the Booking Conditions, which will continue to be valid and have full force and effect.
